Hotel Room Automation: Occupancy, PMS and Energy Management

Hotel room automation helps guests create the right atmosphere with simple controls while giving operations teams better room-status visibility, energy management and faster technical response. A well-designed system does more than switch lights: it connects reservation, access, occupancy, climate and housekeeping processes through one coordinated logic.

What are hotel room automation and GRMS?

A Guest Room Management System coordinates room lighting, shading, temperature, DND/MUR requests and selected electrical loads according to room status. A KNX-based room infrastructure supports these functions through standard communication and can be integrated with PMS, BMS, access control and DALI systems where the project requires it.

Why is a key-card holder not enough?

A card holder confirms that a card is present, but it may not reliably show whether the guest is in the room or whether a card has simply been left behind. A true-occupancy strategy evaluates door contacts, motion or presence sensors, access events and timing logic together. This gives the system a more dependable basis for deciding whether the room is actually in use.

The occupancy algorithm must be tested for the specific project. Sleeping guests, bathroom use or time spent on a balcony must not create a false vacancy decision. The objective is to reduce unnecessary consumption without compromising comfort.

How should room states be designed?

  • Ready to sell: The room is vacant, technically ready and operating at standby energy settings.
  • Checked in: PMS information can prepare the room for the guest's arrival.
  • Occupied: Lighting, shading and HVAC follow the guest's comfort selections.
  • Temporarily vacant: Lighting is switched off and climate can move to a controlled economy mode.
  • Checked out: Selected loads are disabled and temperature returns to the hotel's operating policy.
  • Housekeeping or maintenance: Different functions and notifications are available according to staff permissions.

HVAC control considerations

Fan-coil type, valve arrangement, fan speeds, seasonal information and window-contact logic must be defined. Instead of completely disabling HVAC in a vacant room, the system can use an economic setpoint that considers humidity, frost protection, condensation and room recovery time. Restoring comfort within an acceptable time when the guest returns is an essential design criterion.

Lighting and shading scenes

Welcome, general, relax, reading, night and all-off scenes are tailored to the room type and interior design. Bedside controls should be easy to reach, icons must be clear and regulatory circuits such as emergency lighting must be correctly separated from room scenes. When DALI or dimmable drivers are used, minimum dim level and flicker-free performance should be tested in the mock-up room.

DND, MUR and the doorbell

Do Not Disturb and Make Up Room functions should remain consistent across the room panel, corridor display and housekeeping software. The doorbell can be muted while DND is active, but fire, emergency and other critical notifications defined by the operator must be considered separately.

What do PMS and BMS integration provide?

PMS integration can pass check-in, check-out and room-assignment information to automation. A BMS or central GRMS interface can present temperature, occupancy, faults, window status and selected energy data to engineering teams. The integration scope should be defined through a data-point list, including command ownership and fail-safe behaviour.

Why is a mock-up room essential?

A full-scale room lets the project team test control positions, icons, dimming, blind directions, thermostat behaviour, sensor coverage, panel installation and integration messages in real use. An approved mock-up establishes the hardware, software and installation standard before work is repeated across many rooms.

Commissioning and handover checklist

  • Approved function and scene list for every room type
  • Mapping of room numbers, device addresses and panel outputs
  • Timed tests for door, sensor and occupancy sequences
  • HVAC safeties, setpoints and window-contact operation
  • End-to-end testing of PMS, BMS, access and housekeeping data points
  • Verification of fault, network-loss and restart behaviour
  • As-built drawings, ETS project, backups and operator training

Comfort and operational efficiency belong in one design

Energy management should not rely on harsh rules that reduce comfort. It should use dependable room status and controlled lighting and HVAC scenarios.
